Who processes your personal data?

Your personal data are processed by the company KPC-Group, s.r.o., IDO: 265 00 281, with its registered office at Štefánikova 248/32, Smíchov, 150 00 Prague 5, registered in the Commercial Register kept by the Municipal Court in Prague under File No. C 86088 (hereinafter referred to as “we”).

As we care about the protection of your personal data, we have prepared the following information about the processing of your personal data, which complies with Regulation (EU) No. 2016/679 of the European Parliament and of the Council on the General Data Protection Regulation (GDPR). You will find there mainly what personal data we process, why we do it, how we work with it and how long we keep it.

This information about personal data processing applies to the processing of personal data if you:

  • are our business partner,
  • are participant of events we organize,
  • are a subscriber to the INSIDE information service,
  • are a participant of our survey,
  • the user of our contact and other forms located on the website www.kpc-group.cz (hereinafter referred to as the “websites”).

What personal data do we process?

Business partners and clients, subscribers of the INSIDE information service

If you are our business partner or client, we process especially identification data such as your first name, surname, your academic degree, job positions, address of your registered office or registered office of your company and your contact details such as an e-mail address and telephone number or VAT number, your order number, or the number of the agreement we have entered into.  This can be directly your personal data or personal data of your company representatives.

Participants of events

If you are a participant of an event we organize, we process your personal data, such as your academic degree, first name, surname, e-mail address, telephone number, job position, organization or company name, and correspondence address/registered office.

At some of our events we also take pictures, which we then publish on social networks and on our websites. At each event you will be informed separately for what legal reason (especially legitimate interest or your consent) we are authorized to process your personal data. If you do not wish any of your photographs to be published on the internet, please send us an e-mail at and we will try to meet you as much as possible.

Subscriber to the INSIDE information service

If you are a holder of our subscription or subscriber to the INSIDE information service, we process your personal data, such as your academic degree, first name, surname, e-mail address, telephone number, organization or company name and correspondence address/registered office. We also process data on the length of your INSIDE information service subscription.

Participants of our surveys

If you are a participant of our surveys, we process your personal data in particular to the extent of your job position, the industry in which you work and the data you fill in directly in the questionnaire. In addition, you can voluntarily give us your first name and surname, your company name and e-mail address.

User contact and other forms on our websites

If you decide to contact us via web forms, we process your personal data to the extent of your first name and surname, job position, company or organization name, e-mail address, telephone number and information you provided us via the form.

We also process your personal data to the extent of the product you ordered from us, our communication between you and us and other details regarding our cooperation.

What entitles us to process your personal data?

We process your personal data for several reasons. Each of these reasons must also be supported by a legal basis for processing in order for the processing of personal data to be lawful.

The reasons why we process your personal data are as follows:

Performance of the contract or adoption of measures prior to the conclusion of the contract

For this reason, we process personal data so that we can provide you with the services we agree on, and to contact you and communicate with you about our cooperation or events that we organize and for which you are registered. Also, so that we can contact you if you use our contact or booking forms.

Our legitimate interest

We also process your personal information because it allows us to have a legitimate interest. As a result, we can adapt the offer to you or take appropriate measures to exercise or defend our legal claims.

It is our duty

We also process your personal information because the law says so. For example, according to the Accounting Act, we are obliged to keep tax documents - invoices in which your personal data may be included.

Do you have to provide us with your personal data? And what about the consent to personal data processing?

In some cases, we process personal information for purposes where it is necessary to provide us with your personal information. For example, if you are interested in using our services or participating in our events, we need your personal information so that we can enter into a contract with you, provide the services, or contact you during our cooperation. Unfortunately, it will not work without these.

We currently do not process personal data that requires your consent. If it is necessary for some processing of your personal data, we will always inform you. Of course, we would also provide you with additional information, such as how to withdraw your consent.

How long will we keep your personal data?

If we enter into a contract or you order our services with us, we will keep your personal data for longer than the duration of our cooperation, for example due to withdrawal, claims and others. Under the accounting legislation, we are obliged to collect tax documents for a period of 10 years from the end of the tax period in which the transaction occurred. Therefore, we cannot delete your personal information as soon as we have completed our cooperation.

However, you can be sure that we only process your personal data for as long as necessary and to an appropriate extent. The retention period of your personal data is then determined according to the following logic:

  • for the duration of our cooperation, until the event you attended;
  • for as long as it is necessary to protect the rights of our company and for as long as it is necessary to determine, exercise or defend legal claims;
  • for the duration of our other legitimate interests;
  • for a period determined by law.

Who has access to your data except for us?

The collected personal data are processed by the following processors:

  • Gartner, Inc., with registered office at Gartner Ireland Limited of Level 4, 80 Harcourt Street, Dublin 2, Ireland, tax registration number IE6582294W and/or its affiliates;
  • Gartner, Inc., 56, Top Gallant Road, Stamford, CT 06902 United States;
  • ARTEX Information Systems spol. s r.o., ID: 25631047, registered office: Štefánikova 248/32, 150 00 Prague 5 - only for accounting and IT services;
  • SEND Předplatné spol. s r.o., ID: 61061409, registered office: Prague 9 - Horní Počernice, Ve Žlíbku 1800/77, postal code 19300, only for mailing INSIDE Report (printed magazine) if you are a subscriber.

We may also share your personal information with public authorities if it is in our interest or if they ask us to do so, or in the event that KPC Group is merged, sold, or in the event of a transfer of some or all of our assets, or in the event of another corporate change, in connection with such a transaction.

What rights do you have regarding the processing of personal data?

You are entitled to all rights granted by law. You may require us to tell you what personal data we process and, if you ask us, we must give you access to it. You may require us to correct incorrect data or complete incomplete data. Under certain conditions, we are also obliged to delete your personal data or restrict its processing if you ask to do so. If you suspect that your personal data is being processed unlawfully, you may file a complaint with the Office for Personal Data Protection.

In addition to the rights mentioned above, you also have the right to object if we process your personal data based on our legitimate interest. This objection can be raised by sending a message to our contact address . We will then evaluate the objection without delay, but no later than one month from receipt.
